Thank you cards

What to write in a thank you card for a coworker

For someone who covered for you, taught you something, or carried a project. Lines with an actual reason in them.

  • Thank you for covering for me last week. You made a genuinely bad situation entirely manageable, and I will not forget it.

    Heartfelt
  • Thank you for taking the time to teach me this properly rather than just doing it faster yourself. Not many people do.

    Heartfelt
  • You stepped in when you did not have to and it made all the difference. Thank you.

    Heartfelt
  • Thank you for the introduction. It turned into something considerably bigger than either of us expected.

    Heartfelt
  • Thank you. I owe you a coffee, and by coffee I mean a debt I fully intend to spend years repaying.

    Funny
  • Thank you for saving me from myself, again. At this point it is basically a job.

    Funny
  • Thank you. It really did make a difference.

    Short
  • Thanks for everything on this one. Genuinely appreciated.

    Short
  • Thank you for stepping in. I owe you.

    Short
  • Thank you for your help with this project. Your contribution was invaluable and very much appreciated.

    Formal
  • With sincere thanks for your support over the past few weeks. It has not gone unnoticed.

    Formal
  • Thank you for the time and care you gave this. It was noticed and it was appreciated.

Most workplace thank you cards fail on the same point: they thank someone for a category rather than an act. "Thanks for all your help" tells the reader nothing about what you noticed, and gives them nothing to feel good about beyond the gesture itself.

Name the thing. What they did, when, and what it meant for you — the weekend they gave up, the introduction that turned into a job, the bug they found at eleven at night. A thank you card is one of the few places at work where specific praise costs nothing and lands immediately.

Three things worth getting right

  • Say what they did and what it saved you. Two clauses, and the card is already good.
  • If it is worth saying to them, consider also saying it to their manager. That is worth more than the card.
  • Send it while the thing is recent. A thank you six months late reads as an afterthought.

Common questions

Is a thank you card at work over the top?

Not for anything that cost the person real time or effort. It is unusual enough to be memorable and cheap enough to be sincere. For a small routine favour a message is fine; for someone who went out of their way, the card is the right size of gesture.

How do you thank a whole team?

Thank them individually inside a group card. A single note addressed to everybody is read as addressed to nobody. One line each, naming what that person did, means every reader finds their own name and their own contribution.
